What the Trip Costs, Who Rides Along, and What Happens on the Day
Most families take a few days to decide. That's normal. Below are the answers people ask us for most before they book — in plain language, with no pressure to commit today.
What Families Ask Before They Book
These are the six questions that come up on almost every call. Here are the straight answers.
“Is the quote I was given the price I actually pay?”
Your quote is written and itemized, so you can see what each part of the trip costs. Ask your coordinator to walk you through it line by line. If your dates, pickup point, or destination change, tell us — we will re-quote it in writing rather than let a surprise show up later.
“Who is actually in the vehicle?”
A licensed medical professional — an RN, LPN, or EMT-Paramedic — is at the bedside for the entire trip. Not a driver alone, and not a stranger hired at the last minute in another state. The same team that picks your loved one up is the team that delivers them.
“Can I ride along?”
Yes. A family member can ride with us. For a lot of families this is the detail that settles it — nobody makes the trip alone, and you see the whole thing yourself. Tell your coordinator who is coming so we plan the seating.
“How do we pay for this?”
This is a private-pay service, paid directly by the patient or the family. We take major cards, check, and bank transfer. CareCredit financing is accepted, and we offer a discount for veterans. Your coordinator can lay out the options with you.
“How far ahead do we need to book?”
It depends on the route and the season, so the honest answer is: call and ask. Some trips we can schedule quickly; others need more lead time to put the right vehicle and crew in the right place. Knowing the real date range costs you nothing.
“How far do you go?”
Nationwide, coast to coast. We handle long-distance moves specifically — a minimum distance of 200 miles is required for all transports. Cross-country trips are routine work for us, not an exception.
What the Day Actually Looks Like
Bed to bed, door to door. Here is the whole trip, start to finish.
We Plan It With You
One call sets the date, the route, and the pickup and drop-off points. We coordinate with the facility so you are not the one relaying messages between nurses and dispatchers.
We Come to the Bedside
Our team arrives where your loved one is — hospital room, rehab facility, or home — and handles the move to the vehicle. You do not need to arrange a wheelchair van or lift anyone yourself.
They Lie Flat the Whole Way
Your loved one travels in a real bed, not a seat, in one of the most spacious vehicles on the road. The medical team rides alongside. We stop when they need to stop. A family member can ride with us.
Straight Into the New Bed
We deliver to the receiving room — not the curb — and hand off to the staff there. The trip ends with your loved one settled and you standing in the room, not filling out paperwork in a parking lot.
If You're Also Looking at Air Transport
Worth saying plainly: sometimes flying is the right call.
If the situation is time-critical, or the distance is very long and the clock matters medically, an air ambulance is the better tool. We will tell you that on the phone rather than sell you a drive. We can say that honestly because we arrange both — our parent company, Air Critical Care, operates air ambulance service worldwide, so we have no reason to push you toward the wheels.
For most long-distance moves, though, the trip is not an emergency — it is a discharge, a relocation, or a move closer to family. In those cases ground transport costs a fraction of a medical flight, your loved one stays in one bed the entire way instead of being transferred between an ambulance, a plane, and another ambulance, and you can be there for all of it.
